SpotBooker SpotBooker Guide

Keep your bookings in your calendar

An invitation in every email, and a subscription that keeps Outlook, Google or Apple up to date on its own.

📅

The room is booked… but in which calendar? SpotBooker speaks the language of calendars. Every booking comes with an invitation that updates as validation progresses, and a subscription link continuously mirrors your bookings — or a resource's full schedule — with nothing to retype.

Step by step
1 Accept the invitation in the email

Every booking email carries a calendar invitation. Tentative while the request awaits validation, it becomes confirmed on approval and disappears on refusal or cancellation. The booking's guests receive it too.

2 Create your subscription link

In your profile, the "Calendar subscription" card creates a personal link. Copy it, then add it to your calendar as a calendar by URL: "Add calendar > Subscribe from web" in Outlook, "Other calendars > From URL" in Google Calendar, "File > New Calendar Subscription" on Mac.

3 Subscribe a calendar to a resource's schedule

An administrator can create a link for a resource: it exposes all of its bookings, ideal for a room's door display or a team's shared calendar.

4 Revoke when in doubt

The link contains a key: whoever gets it sees the schedule, with no password. The last-accessed date tells you whether it is in use; one click revokes it and a new link can be created.

Calendars poll the feed at their own pace, usually every few hours: a subscription is not instant, unlike the invitation received by email.
The feed covers a sliding window: one month back and twelve months ahead. It is not an archive.
