Set booking limits

A quota of hours or bookings per person, global or per resource, with group exceptions.

📊

The same three people booking the gym every evening? Booking limits make sure everyone gets their share. Set a volume of hours per day, week or month, add a limit specific to a resource in high demand, exempt whoever should be. Both levels stack: 10 hours a week in total, and a single weekly booking on the gym.

Step by step
1 Enable limits

Turn on the main switch, then fill in your global limits: a maximum of hours per day, per week and/or per month. The week follows the first weekday chosen in your settings.

2 Add per-resource limits

A limit can target a resource, a tag or a category. Pick its period, then its type: a volume of hours or a number of bookings. A per-resource limit adds to the global ones, it does not replace them.

3 Plan exceptions

Exempt administrators with one click. For a user group, choose between the default limit, a custom limit or a full exemption: ideal to tell teachers from students, or staff from visitors.

4 Set late cancellation

Without a late-cancellation window, one can book, cancel at the last minute and rebook without ever using up a quota. Enter a number of hours before the start: a booking cancelled later than that still counts.

5 Watch who nears the limit

At the bottom of the page, the list of users close to their limits helps you anticipate. On their side, users see their remaining quota and, when a booking is refused, the message names the limit involved.

A request awaiting validation already counts towards the quota; it is given back if the request is refused or expires.
A recurring booking is checked occurrence by occurrence: if a single one exceeds the quota, the whole series is refused rather than half created.
